Move a project order through its statuses
The Allmoxy project order statuses from Bid to Installed: what each one means, when you need a proposal line, install dates, and what moving back undoes.
Project orders don't end when the truck leaves; they end when the job is installed. So they climb their own ladder: Bid, Authorized, Confirmed, In Production, Ready to Install, Shipped and Installed. Change the status in the order's sidebar and save, the same way you would on any order.
Applies to: project orders, for your team. Changing an order at Confirmed or later needs the Edit Verified Orders permission.

The project status ladder
Catalog orders run Bid, Ordered, Verified, In Progress, Completed, Shipped. That works when the sale ends at the loading dock. A project doesn't: there's an approval step before anything gets built, and there's install work after the delivery.
- Bid: you're still quoting. Files, rooms and proposal lines are all in flux.
- Authorized: the customer has said yes to the proposal. See Get a project proposal accepted and paid.
- Confirmed: you've reviewed it on your end and it's good to build.
- In Production: the work is underway.
- Ready to Install: it's built and waiting to go out.
- Shipped: it has left your shop.
- Installed: it's in, and the job is done.
On Hold and Void can be reached from any status.
If your account runs both order types, the status filters on the orders list split into two groups, Catalog and Project, so a project at Ready to Install and a catalog order at Completed both read correctly.
Add a proposal line before you leave Bid
You can save a project order with an empty Proposal tab. During discovery you want to upload photos and name rooms without anyone asking for a price.
But the order can't move past Bid until the proposal has at least one line. If you try, a message tells you what's missing. Authorized means the customer approved something; with no lines there's nothing to approve, nothing to price and nothing to invoice.
Set the install date
The Requested install date and Actual install date sit in the order's sidebar beside the ship dates. Your team sets them and changes them as the schedule moves. Once the order is Shipped or Installed, the install dates lock.
What happens at Installed
Installed is the last step of a project order. When the order reaches it:
- Prices, the discount and shipping lock.
- The install date and the revenue date are stamped. Project orders count as revenue at Installed, not at Shipped.
- Your customer gets the invoice-shipped email, if their company receives invoices by email and you have a default invoice output page.
Move an order backward
Sometimes a job goes sideways and has to be re-quoted. Move it back by picking an earlier status and saving.
- Back to Bid clears the install, ship and invoice dates and the revenue date. The order comes off the revenue reports it had landed on, and the dates fill in fresh when it works its way back to Installed. Only a move all the way back to Bid clears these dates.
- Supplies stay where they are. Moving an order backward doesn't release supply that was allocated to it. Check the Purchasing tab and adjust by hand.
- Prices unlock again once the order is back below Shipped.
Put an order On Hold or Void it
On Hold is for a live job that's paused: the customer is deciding on finishes, or the permit hasn't come through. It parks the order without calling it dead. Void is for a job that isn't happening.
Both are reachable from any status, including Bid, so a job that dies before it's quoted still has somewhere to go. Use On Hold if there's any chance the project comes back.
Coming back takes a proposal line too: a project order with no proposal lines can't leave On Hold or Void for anything except Bid.
Where project statuses show up
Project statuses work like any other status in Allmoxy:
- Filters on the orders list, using the project status names.
- Triggers, so you can send an email or an internal alert when a job reaches Ready to Install. See Intro to Triggers.
- Status tags in list views.
- Status History in the order's sidebar, when you need to see what moved and when.
Project orders don't auto-verify. Moving from Authorized to Confirmed is always a step your team takes.
