Email invoices and payment reminders automatically

Use triggers to email customers when an invoice comes due, when a payment is late, when a deposit's second payment is due and when finance charges post.

Use triggers to email your customers about money at the right moment: when an order reaches the status where its invoice comes due, when a payment is late, when a deposit's second payment is due, and when finance charges post. You can also email any invoice by hand from the invoice itself.

Applies to: admins who manage triggers. Emailing invoices by hand needs the Manage Invoices permission.

Send invoices when they come due

Build a status trigger on the status where your payment term makes invoices due, for example Shipped, and have it email the customer.

The trigger list also has an Invoice Created event, but it never runs. Use a status trigger instead.

Remind customers about late payments

Order Past Due By runs when an unpaid invoice is late by the number of days you set. Late is counted from the due date, which is the date the order reached its due status plus the term's grace days.

For example, with a Standard Net term due at Shipped, 30 grace days, and a trigger set to past due by 1 day, the reminder goes out 31 days after the order ships, not the next day.

Other payment triggers

  • Second Payment Due runs when a deposit order reaches its middle payment status. Use it to ask for the second payment.
  • Payment Made runs when a payment is recorded. Use it to thank the customer or tell your team.
  • Finance Charge Created runs on the last day of the month when a customer's finance charges post. Use it to email the charge.
  • Credit Card Expires Soon runs before a saved card expires.
  • Product Subscription Cancelled runs when a subscription renewal can't be charged and the subscription is cancelled.

Email an invoice by hand

Open the invoice from Financial > Invoices and email it, along with the packing list if you need it.
