Pay specific invoices

  1. Open the customer's company page, or the order's page.
  2. Enter the amount you're applying to each invoice. You can split one payment across several invoices.
  3. Choose the payment method and finish the payment.

The amount on any one invoice can't be more than that invoice's balance.

Use Quick Pay

Quick Pay takes one amount and applies it to the customer's oldest invoices first, by the date each reached its due status. It skips bids and voided invoices. If anything is left over, it becomes a credit memo named "Credit memo" that the customer can use as account credit on later invoices.

Choose the payment method

Your team can record a payment as Check, Credit Card, EFT, Cash, Credit Memo or Write Off, with a reference number and a memo. Customers paying online don't see these options; they pay by card or bank account through your gateway.

Give a cash discount

If you offer a discount for paying by cash or check, set the percent in Settings > Admin > Financial. When you record the payment, tick Apply Cash Discount. Allmoxy records the discount as a credit memo, so the customer pays the discounted amount.

Only your team can apply the cash discount. Customers paying online can't.

Send a receipt

Every payment gets a receipt. Find it at Financial > Payment Receipts, where you can filter by date, company and payment type, then email it or print it as a PDF.

Things to know

  • Recording a payment by hand doesn't charge a card. It records money you've already received.
  • Only payments recorded by hand send the Zapier "payment made" hook. Card, bank and account credit payments don't, so plan any Zapier flow around that.
  • Undoing a payment that had a cash discount removes the discount too.
