Order limits, credit limits and what your customer owes

The difference between a customer's order limit and credit limit, how the balance figures on the company page are worked out, and what to do when an order is held.

The order limit caps how much a customer can have open when they place a new order. The credit limit is how much shipped, unpaid balance they can carry before it counts as due now. Both are set per company, and the defaults in Settings > Admin > Financial apply to any company without its own.

Applies to: Standard Net and Deposit Required customers. Pay Before Processing customers aren't limited, because they pay before the order is placed.

Order limit

When a customer submits an order, Allmoxy adds the new order to their open balance. If the total would go past the order limit, the order is held as a bid and the customer sees a message that it would have put them over their order limit.

The open balance counts unpaid, unvoided invoices that have an invoice date. Bids don't count.

To let a held order through, do one of these:

  • Raise the company's order limit.
  • Take a payment to bring the balance down.
  • Have an employee place the order. Employees aren't stopped by the limit.

Credit limit

The credit limit doesn't block orders. It decides when a shipped balance counts as due. Shipped, unpaid balance above the credit limit shows as currently due on the company page, even if those invoices are still inside their grace days.

The figures on the company page

The company page shows the customer's position. Bids and voided invoices are left out.

  • Total due: everything unpaid.
  • Currently due: invoices past their due date, or the shipped balance over the credit limit, whichever is larger.
  • Account credit: unused credit memos.
  • Credit limit and credit remaining: the limit, and the limit minus total due.

The Delivery report shows a collect-on-delivery amount for the same reason: the past due balance, or the shipped balance over the credit limit, whichever is larger. Drivers can collect it when they deliver.

Things to know

  • Neither limit charges a card. They only hold orders and change what shows as due.
  • A company's own limits override the shop defaults. Edit the company to set them.
