Manage your Allmoxy subscription and billing

Your Allmoxy subscription: the card on file, receipts and the billing email, a failed payment, what each Allmoxy charge is for, and getting started.

Your Allmoxy subscription is managed from Settings > Admin > Account Settings, and the charges themselves are billed through Stripe under the name Allmoxy, LLC. This article covers the card on file, where receipts go, what happens when a payment fails, and what each kind of charge from Allmoxy is for. Changing your plan, pausing and canceling are in Change, pause or cancel your Allmoxy subscription.

Applies to: the people who handle your shop's bill with Allmoxy. Opening Settings > Admin > Account Settings needs the Manage Account Settings permission, which only employees can hold.

Open Account Settings

  1. Log in to your Allmoxy shop as an employee with Manage Account Settings.
  2. Click the gear icon in the top bar and choose Admin > Account Settings.
  3. The page has four sections: Active Modules, Payment Method, Payment History and AI Usage. Each one folds open and closed.

Active Modules

A list of the optional parts of Allmoxy and whether your shop has them: for example API, Operator and Reports, each with a Visibility and Status column. Modules are switched on per shop by Allmoxy when you add them to your plan. If you've paid for a module and it still shows Inactive, or doesn't appear, tell us through the Report a Bug chat and we'll switch it on.

Change the card on file

Most shops pay through a billing page that Allmoxy runs with Stripe. On those shops the Payment Method section shows a link instead of a card form:

  1. Click the link in Payment Method. It opens Allmoxy's billing page at accounting.allmoxy.com.
  2. Enter the billing email for your account. A one-time sign-in link is emailed to that address.
  3. Open the link, update the card (or add a new one) and save.

The sign-in link only goes to the billing email Allmoxy has on file for your account. If you enter a different address, nothing arrives. If no link comes, check the spam folder of the address your Allmoxy receipts go to, or ask us to send you a direct update link or change the billing email (below).

If your shop shows a card form instead of a link, enter the card there: Name on Card, Card Number, Expiration Date, CVV2 Code, billing address, then Update Payment. Visa, Mastercard, Discover and American Express are accepted. If your payment was overdue, saving a card also renews the subscription, and your shop is back to normal right away.

If the billing page shows "Something went wrong" before it loads, try another browser (Chrome works when Safari on a phone sometimes doesn't), or a computer instead of a phone.

Payment History and receipts

Payment History lists up to 12 months of subscription payments with their Date, Amount, Status (Success, Refunded or Failed) and Memo, with a receipt link where one exists. Receipts themselves are emailed by Stripe from Allmoxy, LLC to your billing email each time a payment goes through, with a receipt number such as #1234-5678. If you need an invoice or a receipt for a charge that isn't there, ask us and we'll send it.

Change the billing email

Receipts, invoices and failed-payment notices all go to the billing email on your Allmoxy account. There is no field for it on Account Settings. To send them to someone else, such as your accounts payable address, tell us the new address through the Report a Bug chat or your Customer Success contact and we'll update it. That address is also the one the billing page sends its sign-in link to.

If a payment fails

When a subscription payment is declined, Stripe emails the billing email a notice from Allmoxy, LLC saying the payment was unsuccessful, with a link to update the card. Stripe tries the payment again over the following days, and the notice repeats ("unsuccessful again") until a payment goes through.

  • Update the card using the link in the email or the steps above. The next retry uses the new card.
  • Want it charged now? Once the card is fixed (or your bank has cleared the block), reply to the notice or tell us through the Report a Bug chat, and we'll run the payment again.
  • Why was it declined? The reason sits with your bank. We only see a general decline, so call the number on the back of the card. Common causes: an expired or replaced card, a daily or monthly limit, a prepaid or business card without enough funds on it, or the bank blocking an international charge.

On shops that pay through the card form, the people who manage the account see the card form in place of the page they opened, and everyone else sees a notice that the account needs attention. Save a working card and the shop is back to normal immediately.

If payment isn't sorted out, the shop can be suspended: every page shows "your account has been suspended" with the number to call. Your data is kept while we sort it out. Call the number or reach us through the Report a Bug chat, and we'll get you back in.

What's this charge?

Not every charge from Allmoxy is the monthly subscription. If a receipt or invoice isn't familiar, it is usually one of these:

  • Your subscription. The monthly (or annual) charge for your plan and any added modules, emailed as "Your receipt from Allmoxy, LLC". Plans are sized by what your shop runs through Allmoxy in a year, never per seat; see Change, pause or cancel your Allmoxy subscription.
  • A sandbox. A separate testing copy of your shop, billed on its own each month. It keeps charging until you ask us to shut it down, even if nobody uses it, so tell us when you're finished with it.
  • A services invoice. Implementation, catalog building and engineering time are billed separately from the subscription, on an "Allmoxy Services Invoice", under the services agreement you signed. Scoping and estimate work done by the engineers counts as billable time; calls with your Customer Success contact don't. See Get help from Allmoxy.
  • API access. The API and its sandbox are paid add-ons; see Set up API connections.

Still not sure? Send us the receipt or invoice number and we'll tell you exactly what it covers.

Just subscribed?

Once your first payment goes through, Allmoxy sets up your shop and emails the owner your shop's address (yourshop.allmoxy.com) and how to sign in. If that email hasn't arrived, reply to your receipt or use the chat on this help center and we'll send it. Your own web address (such as orders.yourshop.com) is set up afterwards; see Use your own web address.

Things to know

  • Account Settings needs Manage Account Settings. Give it to the one or two people who handle the shop's bills, and no one else; see Employee permissions: what each one does.
  • Your subscription is billed through Stripe. Card details go to Stripe, not into your shop's data.
  • The billing page signs you in by email. The link only goes to the billing email on your account.
  • Payment History shows the last 12 months. Receipts go out by email.
  • Failed payments are retried. Fix the card and the next retry picks it up, or ask us to charge it now.
  • "Account suspended" is the subscription, not a bug. The message carries the number to call.
  • Changing where receipts go is a request, not a setting. Tell us the new address and we'll update it.
  • A sandbox bills until it's shut down. Ask us to close it when you're done.
