Emails Allmoxy sends and who gets them

Which emails Allmoxy sends and who receives each one: trigger emails you set up, emails Allmoxy sends on its own, and emails your team sends by hand.

Allmoxy sends emails only to the people they're for, not to everyone in the business. Most come from triggers you set up, where you choose the recipients. A few go out on their own (welcome emails, password resets, the invoice when an order ships), and some your team sends by pressing Email.

Applies to: every shop. Triggers are managed by employees who can edit them; each person's task and announcement emails are their own preference.

Emails your triggers send

Most notifications happen when a trigger fires. You choose the event (an order reaching a status, a payment, a new company), narrow it down (which status, which company, which products or tags), and pick who gets the email. Triggers are rich with customization; see Intro to Triggers.

Recipients a trigger can send to:

Choice Who gets it
Contacts you pick on the trigger Those people, every time.
The company's primary contact The primary contact of the company on the record.
The order contact The person on the order (for order, process and attachment events). See Send a trigger to the contact who placed the order.
Typed email addresses Anyone, inside or outside Allmoxy.
Everyone with a recipient tag Instead of the choices above: every contact in the record's company who carries one of the tags you choose.

Inactive contacts and contacts without an email address are skipped silently, so keep contact records current.

Emails Allmoxy sends on its own

Email When Who gets it Can you stop it?
Welcome A contact is given a username That contact No (only the Importer has a switch to skip it).
Password reset Someone asks for a reset That person No.
Invoice shipped An order reaches Shipped or Installed The contact chosen in the customer's Invoice Receipt Method, only when that method is Email Yes: leave the method at None (the default). It sends again if the order ships again. See Email invoices and payment reminders automatically.
Task assigned A task is assigned to an employee That employee Each person turns it on or off in their own preferences (off by default).
New announcement An announcement is posted Employees who opted in Same per-person preference (off by default). See Notes, Announcements and Tasks.
Daily digest Daily Only people with an older saved preference for it Ask support if someone still gets it and doesn't want it.

There's no setting that stops all email.

Emails your team sends by hand

These go out when someone presses Email on the record: statements, output pages such as the invoice or packing slip, miscellaneous invoices, payment receipts, purchase orders, supply orders and vendor invites. The person sending picks the recipient.

Allmoxy doesn't send newsletters or bulk mail. To email all your customers, export their addresses and use a mail merge tool; see Export customers and contacts out of Allmoxy.

Check whether an email went out

The Email Log at Reports > Managerial > Email Logs lists the emails and text messages Allmoxy sent, with the recipient, subject and time. See Check whether an email was sent (Email Log).

Things to know

  • Some emails are always in English: the password reset, task, announcement and invoice-shipped emails, whatever language the person has set. Trigger emails use the wording you write.
  • The sender name is your company name, and a trigger's From address is where replies go. See Make sure your Allmoxy emails are delivered.
  • Text messages work the same way as trigger emails and go to contacts with an SMS number. See Send a text message with a trigger.
